Steps on using campaign enrolment filters effectively.

Campaign filters within Looop are very powerful. They give you the ability to create enrolments, give access to, and can set reminders for resources, pathways & certificates. They can also be used to set triggers so when filters are met the actions happen within the time condition that has been set in line with a fixed or relative date/day.

These enrolment filters mean you have great flexibility to create learning experiences that can support a wide variety of Learning and Development use cases. These filters also allow you to flex your messaging depending on a users progress etc

Filtering with Status and Date

  1. The administrator creates a campaign and starts building up an audience filter.

  2. Multiple filters can used e.g. set your audience e.g. group or attribute

  3. The administrator can then choose desired content filter (Resource, Certification, Pathway). You don't have to use an attribute or group filter, you can just use a content filter if required. You can add multiple filters as required. Each filter is an 'AND' to the previous one, using multiple group options within a filter acts as an 'OR' - within attributes the 'OR' option is handled within that one filter.   4. The administrator then chooses the required STATUS of an enrolment as a content filter (resource, pathway, certificate) from the dropdown list available that can be chosen as audience filter*

  5. The administrator then sets a time condition from the options:

  6. The administrator specifies the Resource(s) that needs to be within the filter

  7. The administrator can “Include archived” by selecting the toggle on

  8. The administrator chooses what kind of share type he/she wants to filter out in the audience e.g. whether it was self-shared, shared or both

  9. The administrator hits SELECT

  10. The audience will consist of the users that meet the selected criteria and the filter statement will show in the audience / campaign summary. This audience can be saved and then previewed to validate the correct audience.

The statuses available in the dropdown list are below with an additional detail associated, please read carefully before setting up any filters:

All users that have any enrolment (does not matter the status)

A catch all filter for general sharing / messaging. Does not include 'No Enrolment'

Completed

The users that have completed the enrollment

Ideal to use to trigger another campaign e.g. unlock the next pathway or trigger a certificate OR to trigger a refresher of content after a period of time

Not Completed

All the users that have an in progress enrolment or have not started yet

Ideal to use as a part of a relative chase / reminder campaign with appropriate time condition.

In Progress

The users that have started the enrollment, but have not finished it yet

Ideal for targeting those who have started but not yet finished e.g. final encouragement

Not Started

The users that are enrolled but have not started yet

Ideal for a more assertive reminder as they have not started

Overdue

The users that have not completed the content in the set time

Ideal for a escalation or to trigger a line manager notification as the user is now over due.

Failed

The users that have failed the quiz (for the resource)

Only for the resources / Pathways that have a quiz. Ideal to automatically reset progress of the same resource OR trigger a new resource with different quiz questions

Passed

The users that have passed the quiz (for the resource)

Only for the resources / Pathways that have a quiz. Ideal to share success or related certificate

Expires

The users whose certifications are expiring soon (for this specific filter, expired can also be included with the toggle button. see the screen below)

Only for certifications

Ideal to trigger a new refresher and reset progress so user can complete the certificate again.

Last Viewed

This filter helps to filter the audience with last view date (of the topic)

We have the last view date only for resources so the filter can be used for any enrollment but the last view date will be checked for the Resources which are in those Pathways or Certifications.

No Enrolment

The users that have not been shared or self assigned the resource/pathway/certificate

Ideal to identify a n audience with no previous enrolment and trigger a campaign audience

Not Completed or no enrolment

All the users that have either in progress enrolments. have enrolled but not started yet or have no enrollment yet

Ideal to identify new audience members AND those who have not completed yet - e.g. initial share and chase

The date conditions:

  1. At any time

  2. Before the specific date (Before DD-MM-YYYY)

  3. After the specific date (After DD-MM-YYYY)

  4. Within a specific date range (From DD-MM-YYYY to DD-MM-YYYY)

  5. More than 30 Days ago (the amount of hours/days/weeks/months/years is an input field)

  6. Less than 30 Days ago (the amount of hours/days/weeks/months/years is an input field)

  7. In more than 30 Days (the amount of hours/days/weeks/months/years is an input field)

  8. In less than 30 Days (the amount of hours/days/weeks/months/years is an input field)

Certificate Expiry

When choosing the status “Expires”, the user has an option to include already expired statuses. If there is a need to include ONLY expired certificates, you should choose Before “Today” date and turn on Include archived toggle ON.
