There are three layers to consider when creating your learning content on Looop. We call these workspaces, themes and digital resources.

Workspaces are defined as the overarching initiative or topic (think manager development, induction, change enablement, sales, well-being etc.)

Need to create more categories and segment your resources even more? No problem. At Looop we call this a theme. A theme is a collection of resources within the workspace, for example you may have Induction as your workspace and them create resources assigned to the following themes

  • First Day

  • First week

  • First Month

  • First 3 Months

You need to create themes before you can add resources to the theme.

Digital resources can then be created and added to a theme, resources can cover any topic and are searchable within Looop. You can create a title and description which helps users understand what the resource is there to do and how it will help them.

Creating a workspace

To create a workspace, bring up the sidebar and select create:

You can set the workspace to open or private, depending on if you want it visible to everyone on the platform:

If your workspace is set to open, everyone you add to the platform will automatically have access to your content within the workspace. However if it's set to private, you will need to add users to the workspace. To do this, go to manage workspace, select the access tab and select add groups or users:

Enter your users names by typing directly into the text box, or select users and groups using the icon on the right hand side.

You can update your workspace's cover image and name by selecting the settings icon. You can learn about this in depth in our branding article for workspaces. You can also delete a workspace here:

You'll also notice there are icons listed next to your resource names when in manage workspace. These are explained in further detail below.

Pencil icon: You can click on this to edit the resource, if you click on the resource title this will also take you to the resource to edit it.

Arrow icon: Use this to move resources, you may wish to move within the workspace you are in, maybe to a different theme. However you can also move the resource to a totally different workspace and theme should you wish.

Copy icon: Use this to copy/duplicate a resource. Please note this will create a completely new version and the two resources will not be linked.

Bin icon: Use this to delete a resource you don't need anymore. Please note this action cannot be undone.

Creating a theme

To create a theme, select manage workspace in the right hand corner and scroll down to the bottom of the page to select create a theme. Don't forget to give your theme a title:

You can easily reorder your themes by using the up and down arrows next to the theme title:

To add existing resources to your theme, select the move icon next to the resource title and then find the relevant theme:

We strongly suggest you try and create your themes first in a workspace as if you add lots of resources and then the themes it means you'll have to go back and add all those resources to the themes afterwards.

An exercise that we encourage is called building a wireframe of a workspace. All this means is thinking through the names and structure of your workspaces before you build the resources. It helps in your design process to think about what the workspace needs to include, how users will find their way around the workspace and what content they will find to help them.
